• Here are My Top 3 Virtual Project Management Picks

    There are many software solutions for project management; some of them are even Cloud-Based, which means that they are stored online so that you can access then from any computer, not just your desktop or laptop.  The three platforms I’m going to discuss are: SmartSheet, myClientSpot, and Central Desktop.  You are going to fall in love with these like I have! They’re all so complete and special in their own way.

    SmartSheet

    Let’s start with SmartSheet.  The only thing that would make it more complete is if it also made me a Soy Chai Latte every morning!  But, I digress.  Imagine a platform where you can do the following: collaborate on projects by sharing files, setting up spreadsheet permissions and publish it to the web.  All without leaving to open your email account.  And that’s just one aspect. You can also create Gantt charts (you know, those bar charts that give you a visual feel for a projects start and end date, and tasks associated with the project) that are multi-layered and easily updated through the use of “drag and drop.”  And what if you didn’t have to leave the application to put a task or deadline on your calendar…well, you don’t!  And, it can be published to overlay on your Google or iCal calendar. Great mobile features: access it on your smartphone, laptop, tablet or desktop.  Other cool features include: Alerts and Reminders, Admin Tools, Report Building, Google apps, Cell Linking, and Crowdsourcing (which enables you to send requests (within the app) to a virtual workforce).

    myClientSpot

    Next, let’s talk about myClientSpot.  This is a fully functional app that let’s you track both time and manage projects. This includes multiple projects, with multiple tasks and deadlines.  I like the security of working on projects, sharing them across the web, and being able to keep comments within the project area where you designate user access.  It allows you to populate the calendar with project and task deadlines, and client events.  You can track assigned tasks, view retainers, add comments on projects, and upload files.  You can share files and calendars, as well. It also keeps track of who’s updating a file and when it’s updated.  It enables you to quickly see who’s doing what task/project.  You can even have multiple people working on the same project. And that’s not all!  myClientSpot allows you to track conversations about the task or project and make them either visible to all or private to a specific person. And finally, it helps you manage your client data.  When you post tasks and deadlines on the calendar, you can get daily reminders in your In-box.

    Central Desktop

    And, finally, we get to Central Desktop.  This company definitely has a sense of humor, as advertised on their website (check out the deer in the turtleneck and sweater vest).  It is also Cloud-based which allows for communication, collaboration and knowledge management.  And, it’s very Mobile as well – desktop, laptop, smartphone, tablet. At your fingertips you’ll have your project details, files and conversations. Not only can you share your files, but your calendar and project plans as well.  This is online collaboration at it’s finest!  In addition, you can set up automatic task assignment and email reminders.  How about this function…you know when it seems like everyone has to sign off on a document, and how long it takes because it goes from desk to desk?  Well, Central Desktop has a feature that lets you route documents for approval.  Imagine sending the document to your supervisor, he approves it, and then it goes up the chain to the Manager, she approves it and on it’s way it goes…all the way up to the top!  Speedy!  You can even grant specific access to external vendors to speed communication.

    Thanks for including Central Desktop, Joy! My favorite feature is a very basic one – being able to email replies to any document or discussion thread. All replies are centralized online so I don’t have to dig through my emails to remember what everyone said. ;-P

      Rock on! Having project threads directly integrated truly makes for a more collaborative experience. MyClientSpot also has this function on tasks and also in a dedicated section of every project workspace. One of my must haves is the ability to create duplicative tasks. This saves oodles of time. MyClienSpot does this and so does Central Desktop. I LOVe functions that save key strokes and repeat best practices.
